Question 1

What is Tote-Pilot?

Accepted Answer

Tote-Pilot is a smart physical storage organization system. It helps you catalog, search, and manage items stored in storage totes, boxes, or bins. By combining printable custom QR codes with AI-powered photo recognition, you can "search your basement or garage" from your phone or desktop computer without opening lids.

Question 2

Who is Tote-Pilot for?

Accepted Answer

Tote-Pilot is designed for homeowners organizing seasonal gear and holiday decor, movers tracking boxes, hobbyists and collectors managing bins of craft supplies or parts, and small businesses tracking storage stock without expensive inventory software.

Question 3

Why is this better than a spreadsheet?

Accepted Answer

Spreadsheets require tedious manual typing for every item. Tote-Pilot uses Google Gemini AI vision to automatically identify items from photos, generate descriptive tags, and create visual thumbnails. Built-in QR camera scanning lets you point your phone at any bin and instantly see everything inside.

Question 4

How do Tote-Pilot Smart Labels compare to ToteScan or Elephant Trax?

Accepted Answer

Unlike apps like ToteScan or Elephant Trax that force you to buy expensive pre-printed sticker sheets from Amazon ($10+ per pack) with random serial numbers, Tote-Pilot gives you free printable smart labels. You can print them on demand at home on regular paper, Avery sticker sheets, or thermal label printers—complete with your custom tote names printed directly on the label.

Question 5

Do I need to buy special QR code labels?

Accepted Answer

No proprietary labels are required. Unlike apps that lock you into buying expensive pre-printed stickers with random serial numbers, Tote-Pilot generates standard QR labels that you can print on demand from any browser. We support 9 popular formats out of the box, including standard Avery sticker sheets (3.5x5" 94256, 4x4" 94100, 3x3" 94101, 4x2" 94257, 3x2" 94237), direct thermal label printers (4x6", 2x3", 3x2", and 6x4" formats for Rollo, Zebra, Brother, and MUNBYN), and plain copy paper.

Question 6

Which label paper is best for storage totes in basements vs. closets vs. garages?

Accepted Answer

For dry indoor closets, standard matte Avery paper labels (Avery 94256 3.5x5" or Avery 94101 3x3") work great with any printer. For damp basements or crawl spaces, choose Avery Printable Durable Waterproof polyester labels so moisture does not warp or peel the stickers. For garages or unheated sheds, direct thermal labels (Rollo, Zebra) provide waterproof, zero-ink durability with commercial-grade adhesive.

Question 7

Do I need a special printer to print waterproof labels?

Accepted Answer

Waterproof synthetic label film requires either a laser printer (which fuses toner with heat) or a pigment-based inkjet printer (such as an Epson EcoTank pigment black, HP OfficeJet, or Canon MAXIFY). Standard dye-based inkjet ink is water-soluble and will smear on synthetic film. Alternatively, direct thermal printers (Rollo, Zebra) require zero ink and produce naturally waterproof labels.

Question 8

How does AI Smart Scanning work?

Accepted Answer

When you snap or upload a photo of items going into a tote, our integration with Google Gemini AI analyzes the image, identifies individual objects, and automatically suggests names, categories, and tags. You can review or edit the results before saving.

Question 9

How does AI Semantic Search / Deep Scan work?

Accepted Answer

AI Deep Scan allows natural language search across all your storage. You do not need to remember exact keyword names—searching for concepts like 'beach vacation gear', 'warm winter gloves', or '3D printer nozzles' automatically surfaces the correct items based on AI visual tags, descriptions, and context.

Question 10

Is there a mobile app? Do I need to download it from an app store?

Accepted Answer

Tote-Pilot is built as a fast, responsive Progressive Web App (PWA). You can use it directly in any mobile browser (Safari, Chrome) with full camera QR scanning. You can also tap 'Add to Home Screen' in your browser to install it like a native app with zero app store downloads or device storage bloat.

Question 11

Can I access my inventory from multiple devices?

Accepted Answer

Yes. All data synchronizes in real time through secure cloud storage. You can scan and add items using your phone in the garage, then search and organize your inventory on a laptop or desktop computer indoors.

Question 12

How does Household Sharing work?

Accepted Answer

Pro plan accounts include Household Sharing, allowing you to invite family members, roommates, or partners. Invited members can view, search, scan, and update items in the shared inventory in real time from their own accounts.

Question 13

Why do I need the Inventory PDF Report?

Accepted Answer

The printable PDF inventory report is specifically designed for homeowners and renters insurance documentation, moving claims, and estate planning. It provides a clean, printable catalog of your belongings with item photos, values, and locations as proof of ownership.

Question 14

Can I export my data if I want a backup or to leave?

Accepted Answer

Yes. You maintain 100% data ownership. Tote-Pilot allows you to export your complete inventory at any time as CSV or JSON data, and you can download your photos. There is zero vendor lock-in.

Question 15

Accepted Answer

Tote-Pilot offers a Free Forever tier that allows you to manage up to 5 totes at zero cost with full core inventory features and printable smart labels. It is perfect for organizing a storage closet or testing the platform.
